Your AP team spends twenty minutes per invoice. Download PDF, hunt for the PO, match line items, validate tax codes, code GL accounts, check bank details, submit for approval.
Multiply that by 300 invoices a month. That's 100 hours of pattern matching. The tax code for this vendor is always the same. The GL account for this category never changes. The PO match is obvious if you know where to look. Your accountants know all this. They just have to do it 300 times anyway.
Every automation tool tries to automate 100%. So they build rules. Lots of rules. Then something doesn't fit. The system guesses wrong or blocks the workflow. Your team fixes it. Now they're debugging someone else's rule engine on top of doing data entry.
We built Athena differently.
She handles 95% of invoices autonomously: reading invoices from email, matching them to POs, validating bank details, coding GL accounts and tax codes, and submitting for approval. The other 5% – when she's unsure, she escalates to her human colleagues in full context. And every time someone corrects her, she learns, pushing that 5% down to 1%, then 0.01%.
This isn't a roadmap. It's how the system works today.
The 95%: What Autonomous Actually Means
Collecting invoices is the easy part. Athena was built for everything that comes after.
End-to-end processing
An invoice email arrives at your AP inbox. Athena reads it, extracts the invoice, and starts working. She matches it to the PO, codes the GL accounts and tax, and submits it for approval. The whole thing takes 62 seconds.
Sometimes there's no PO number. That's when most systems give up. Athena doesn't. She searches vendor history, scans open POs, and looks for amount patterns. She finds the match because she knows what your accountants would look for.
Multi-line invoices are messier. Seven services, seven different codes, seven tax calculations. She processes each line individually—matches it, codes it, calculates the tax. The invoices that used to require manual line-by-line work now run through the system in just over a minute.
Complex Edge Cases, Resolved Automatically
The hard part isn't the standard invoices. It's the edge cases. Mismatched line descriptions. Missing vendor data. Tax rate conflicts. Unexpected charges. These are the ones that eat up 45 minutes of someone's afternoon.
A cross-border invoice arrives. The PO assumes French VAT. But the invoice shows 0% VAT plus withholding tax. Athena checks the vendor's jurisdiction, applies EU reverse charge rules, and books the three-way split: expense, AP liability, WHT payable. She does this because she understands tax jurisdictions, not because someone wrote a rule for this exact scenario.
The invoices that used to take 45 minutes now take 62 seconds.
Fraud and duplicates caught early
Athena also catches the stuff you can't afford to miss. Duplicate invoice numbers. Mismatched bank details. Unregistered vendors. She flags them before they hit your books.
System rules catch the obvious fraud patterns. Your custom rules catch the subtle ones: specific senders to block, vendor thresholds, payment detail changes that need verification.
That's the 95%. Full workflow, edge cases resolved, fraud caught before it becomes a problem.
Traditional OCR reads text. Athena reads context. She understands vendor relationships, tax jurisdictions, spend patterns, and approval hierarchies. That's why she can resolve edge cases that look like exceptions but actually follow patterns your accountants already recognize.
95% autonomous isn't a target. It's what Athena is already delivering today.
The 5%: Knowing When to Stop
When Athena hits something she can't resolve with high confidence, she stops… She doesn't make a blind guess or force it through. She escalates it to her human colleagues for review.
Bank details changed? Flagged for verification. Missing PO? Drafts with vendor history and similar open POs. Tax discrepancy? Flags with context.
You verify in seconds. Not hours later digging through emails.
Approval workflows are configurable. When validation passes, invoices auto-submit. When anything fails, human review.
Knowing when to stop isn't a limitation. It's the intelligence that Athena is built with.
The 0.01%: The Correction Flywheel
The 5% doesn't stay at 5%. It shrinks to 1%, then 0.1%, then 0.01%. Every time your team corrects Athena, she learns from it.
After 10 corrections on the same pattern, she's locked in. The next 100 invoices that follow that pattern? She gets them right.
We measure this with continuous evaluation. If a field is sitting at 50% accuracy, we know immediately. We fix it, and it jumps to 95%+.
Your company formats dates as "October 2024." Your vendors send invoices in twelve different formats. Your team corrects the first ten. The next hundred format correctly without intervention.
Every correction becomes training data specific to your tenant – your date formats, your entity defaults, your vendor quirks. Every correction compounds. That's why the 5% keeps shrinking.
What's Next
You cannot rule-engine your way to intelligence. AP inputs are never predictable.
Athena operates on confidence thresholds, not rule coverage. She escalates instead of guessing. She learns from corrections instead of requiring re-programming.

Invoice processing is the starting point. The same architecture works anywhere judgment matters: GL reconciliation, expense categorization, payment routing.
We're building systems that know when to be uncertain. Athena is our first.
